» Booking System - preliminary reservations

You can make preliminary reservations on the Booking System - click the 'key' icon and login using:
user: client
password: reservation

PROCEDURE:

Check first that the facility and time slot you wish to reserve is available (see below also).

Login.

Click on the 'add' icon

- a form will pop up:

- Select the facility (eg 'Waterbase') from first box
- Choose 'Reservation' in the 'Booking Group'
- Provide some details of the booking in the style used
already in the 'Booking Descriptrions' panel -
club/school name, team, useful notes, etc
- Select Start and End date if booking extends beyond
the day - otherwise leave the day's default value
- Click the 'All Day' box if this applies
- Select booking Start and End times otherwise

Click the 'details' tag of the form:
- Complete details here as available, the event link and
file are be URLs to further information (optional)
- you MUST, however, complete the 'Contact' and 'contact
details' entries. (No bookings can be accepted until this
information is provided.)

If the booking is for a recurring event select the
'recurrence' tag of the form:
- select the recurrence pattern, your choice revealing the
options then available
- select from the options as appropriate
- work out the reuired number of recurrences and enter
this in the 'duration' panel

- REVIEW you entries via the various tags and then you're
happy, click the 'Add This Booking' button.

The booking calendar will redisplay to reveal any new
entries. These will be colour coded in red until ratified by Admin.

EDITING

You can return later to make amendments to your reservation.

Login if necessary. Find your entry. Click on the edit icon

If you wish to delete the entry click on the delete icon

- a confirmation request will pop up.

CONTACT

If in any doubt about this contact bookings@polofarm.org. Please also send an email if the booking is imminent.

LOOKING FOR A SPARE SLOT

This system is based on bookings reserved or made - not on what slots are available as it is impossible actually to list these in a flexible times system of course (think about it!).

To simplify searching it is probably best to start in any one month view, check a day, and check slots within that day. The month view can be used to check quickly if a sequence of slots is available. The minibus and clubhouse facilities are rarely used more than once in any one day.

THE MINIBUS

The minibus will likely as not be used for long journeys - and it will be assumed the requirement will be "all day" on occasions it is required. For short periods, however, when known, please state start and end times its use is required.

All users should be displayed as "Minibus Users".

Please make sure any nominated driver has previously passed document details to Roger Snelling for insurance purposes.

» Pitch Bookings

The Club has three all-weather "astro" playing surfaces - one sand-fill, two water-base - and several grass pitches which are available for trainings sessions or matches when not required for regular needs. Two all-weather pitches have top-class floodlighting permitting night use to 9:30pm.

The sandbase is suitable for football with appropriate footwear.

Grass pitches are available for lacrosse, football practice and mini-pitch games (other games by request). The two cricket fields are available for society, touring and inter-firm functions with member links. There is even an area set aside for that peculiarly localised game of Bat 'n Trap. A separate croquet area is also available.

Enquiries on rates and pitch bookings should be made through our Club Administrator, or by phone 01227 769159 evenings or matchdays and weekends, when others are around to help. Use of floodlights will add to pitch costs

Booking Pitches -The small print:
	Please remember that the availability shown is subject to change and cannot be guaranteed. From time to time it is necessary for us to cancel bookings - we will endeavour to give you as much notice as possible.
	Account holders may reserve and will be invoiced in the usual way. Non account holders may be required to pay before any booking can be confirmed.
	If you need to cancel a confirmed booking - please advise us as soon as possible to avoid charges. "No shows" will be charged. Please make a note of any bookings cancelled because of poor weather.
	Please observe any 'conditions of usage' notices that may from time to time be relevant - particularly in respect of correct footwear, pitch watering and floodlights. Several sports groups have to co-exist - so please be sensitive to individual requirements. Please avoid bad language, noise and distraction of other users. If cricket is being played, please wait until "over" breaks before moving to and from the sandbase. Avoid bringing muddy footwear onto either of the allweather pitches -practice only on the allweather pitches when grass areas are muddy. Do not "knock up" against or behind the tennis courts if any play is in progress. The groundsman has absolute say on pitch usage.

» Minibus Bookings

The 'Sunley Foundation' sponsored minibus is available to PFSC members and managers of its various sections for club AND private purposes.

Enquiries on rates and STRICT conditions of use should be made through Admin, or by phone 01227 769159 evenings or matchdays and weekends, when others are around to help (Sally Hayes). Any nominated driver must pass licence details to Roger Snelling for insurance purposes.

» Clubhouse Bookings 2006

The extensive clubhouse facilities can be hired for private parties and functions, playing members' requirements notwithstanding. There is a top lounge which can be closed for smaller gatherings. Discos or large meetings can be held in the main area.

A staffed bar is available, the club has a license until midnight. All music must finish by midnight.

Charges:
Members £50 + vat = £58.75.
Non-members £124 + vat = £145.70.

Clubhouse Bookings
The small print:

Payment is required in advance
The hirer will be liable for all damages to club property howsoever caused. A holding deposit of £100 against damages will be payable at the time of booking which will be returned if there is no damage
If the applicant is under 18 years, either a parent or guardian must sign the booking form. Or, in the case of a school application, by the Headmaster
Supervision of under 21's is mandatory and a plan detailing the numbers of adults who will be in attendance must be agreed in advance
The clubhouse will be a NON SMOKING environment from 1st September 2006
